DoorLoop integration
DoorLoop integration is available on the Enterprise plan only.
OntarioLandlord integrates with DoorLoop to import your existing properties, leases, tenants, and documents, and to sync your financial ledger. This lets you migrate from DoorLoop without re-entering data and keep your financials in sync.
Setting up the integration
Connecting DoorLoop is a short wizard rather than a single toggle, because activating ledger sync requires telling OntarioLandlord which DoorLoop account represents rent:
- Go to Settings → Integrations → DoorLoop
- Enter your API key — OntarioLandlord validates it and pulls your DoorLoop chart of accounts
- Confirm your rent account — the wizard suggests a likely rent account automatically; confirm it or pick the correct one. You'll also confirm how your account handles pro-rated rent and arrears postings, since these change how amounts are summed
- Preview and activate — review a summary of what will sync, then activate
The integration only turns on (and only then does it start counting toward billing/sync) once you complete the rent-account confirmation — there's no way to activate DoorLoop sync without it. This avoids mis-summing rent when an org's chart of accounts mixes rent with other line items.
Ledger sync
Once activated, ledger sync always runs for a connected DoorLoop integration — there's no longer a separate on/off toggle to remember. Sync applies only to leases you've linked to DoorLoop.
What gets synced
- Only postings in your confirmed rent account count toward what a tenant owes — non-rent-linked payments in DoorLoop are excluded
- Issued concessions reduce the amount owed but are never added to a tenant's credit balance
- Only settled payments (cleared, not pending) are counted
- Each settled, rent-related payment becomes a real payment record in OntarioLandlord, the same kind of record Plaid or manual entry creates — so DoorLoop-sourced rent now shows up on your Dashboard, rent ledger, and T776 tax report, not just inside DoorLoop
- If a payment is later removed in DoorLoop, it's removed on the next sync too
Money affordances on DoorLoop-managed leases
For a lease linked to an active DoorLoop integration, the Financials tab hides Record Payment, bulk Mark as Paid, Create Invoice, and Void — DoorLoop is the source of truth for that lease's money, so entering it manually in OntarioLandlord would create conflicting records. You'll see a banner explaining the lease is managed by DoorLoop instead. Send (invoices/reminders) stays available, and the manual Sync Now button still lets you trigger an immediate sync for that lease without waiting for the scheduled run.
Plaid and DoorLoop are mutually exclusive
While a DoorLoop integration is active, connecting Plaid is blocked. See Plaid overview for details.
Disconnecting
Disconnect is blocked while any active or draft lease is still linked to DoorLoop — unlink or end those leases first. This prevents a lease from being left with no clear source of truth for its ledger.
What you can import
Tenants
Select which tenants to import using the tenant picker. You can import all tenants or select specific ones.
Leases
| Mode | Description |
|---|---|
| Full import | Import lease with auto-generated OSL. The OSL is locked automatically on import and auto-consent is applied. |
The draft import mode has been removed. All imported leases now have their OSL locked automatically with auto-consent applied. Imported leases do not appear in the import picker as drafts.
Documents
Sync signed leases and other documents from DoorLoop. Documents are attached to the corresponding lease record.
Import workflow
- Connect — Set up API credentials in Settings
- Select — Choose tenants and leases to import using the picker
- Review — Verify the data mapping before confirming
- Import — Data is created in OntarioLandlord
- Validate — Check imported records for accuracy
Preventing duplicates
The system prevents duplicate property creation during import. If a property already exists in OntarioLandlord, the import maps leases to the existing property.
Imported lease restrictions
Leases imported from DoorLoop have their OSL locked automatically to prevent accidental regeneration. Auto-consent is applied at import time. You can still edit lease details, but the OSL document won't be auto-regenerated.
Rollback
If you discover data errors after import, the rollback feature lets you revert the import and try again.
DoorLoop attribution
Imported records are tagged with DoorLoop as the source for tracking and analytics purposes.
You can test the DoorLoop API connection from the settings panel at any time to verify your credentials are still valid.
