Adding tenants

Tenants are the individuals who occupy your rental units. There's no standalone tenant-creation screen — tenants are created inline while creating a lease, or automatically when you upload an Ontario Standard Lease.

Adding a tenant while creating a lease

  1. Start Create Lease (see Creating leases)
  2. On the tenant step, check Create new tenant
  3. Enter the tenant's information:

There's no Notes field on a tenant record.

Adding tenants via OSL upload

When you upload an Ontario Standard Lease (OSL) PDF:

  1. The system extracts tenant names automatically
  2. Creates tenant records for each person on the lease
  3. Links tenants to the lease

Multiple tenants on one lease

For leases with multiple tenants (roommates, couples), add co-tenant emails on the same lease creation flow — see Creating leases. All co-tenants are associated with the same lease.

Tenant information best practices

Contact information

Keep at least one contact method on file:

  • Email - For formal communications
  • Phone - For urgent matters

Use the tenant's legal name as it appears on:

  • Their ID
  • The lease agreement
  • LTB documents

This ensures consistency if you need to file with the LTB.

Editing tenant information

Open the tenant from their lease and click Edit. Legal Name and Phone can be changed directly. Email is different — changing a tenant's email triggers a CASL consent flow (the tenant needs to consent to electronic communication at the new address), so it isn't a simple field edit.

Deleting tenants

You cannot delete a tenant who has active leases. End or delete the lease first.

  1. Navigate to the tenant (via their lease)
  2. Click Delete Tenant
  3. Confirm deletion

Viewing tenant details

There's no standalone Tenants list page. Tenant information — contact details, current and past leases, payment history, associated notices — is viewed from the Leases list and each lease's detail page.
