Managing owners
Owners are available to property management organizations. Independent landlord accounts don't need this — the organization itself is the landlord on every lease.
If you manage properties on behalf of landlord clients, Owners lets you track each client as a record in OntarioLandlord instead of retyping their name, email, and phone into every property. An owner is a contact record only — owners don't get their own login or access to the platform. You manage everything on their behalf.
Why owners exist
Before this feature, a property manager's landlord-client details lived only inside each property's contact fields, so the same owner had to be re-entered for every property they owned and there was no single place to see which properties belonged to which client. Owners fix that: create the client once, then link them to as many properties as they own.
Creating an owner
- Click Owners in the sidebar (visible for property-management organizations)
- Click Add Owner
- Enter the owner's details:

Linking an owner to a property
Owner assignment happens from the property itself, not from the Owners page:
- Go to Properties → select the property → Edit
- In the Assigned owner field, choose:
- An existing owner from the dropdown, or
- + Add new owner to create and link one in the same step
- No owner assigned to leave the property unlinked
- Click Save
Selecting an owner copies their name, email, phone, and address into the property's landlord contact fields, which is what appears on notices and the OSL for that property.
You don't have to assign an owner to every property before generating notices or activating leases — existing properties keep working exactly as before. Owners are an additive way to organize client contacts, not a requirement.
One primary owner per property
A property can only have one primary owner at a time. Linking a new primary owner automatically demotes the previous one — there's no separate step to "unassign" the old one first.
Removing a linked owner
If you linked the wrong owner, open the property's Edit modal and use Remove current owner to unlink it. This doesn't delete the owner record — it just removes the link, so you can reassign correctly.
Editing and deleting owners
From the Owners page you can edit an owner's contact details. Deleting an owner is blocked while it's still linked to any property — you'll get a conflict error telling you how many properties still reference it. Unlink it from every property first (see Removing a linked owner above), then delete the now-unlinked owner record.
Owner contact on leases
For a leasing-only engagement where the owner — not your office — handles tenant correspondence, you can opt a specific lease into printing the owner's contact info on its Ontario Standard Lease instead of your office contact. See Owner contact on the document in the Leases guide.
